Edit Maintenance Shop Network Service Entries

Service Entries that are created in Fleetio via Maintenance Shop Network are generated in real-time as soon as the shop adds the service data to Auto Integrate. These completed Service Entries cannot be manually deleted, but they can be edited to link to other records, provide additional information, or correct errors.

IMPORTANT: Maintenance Shop Network is available for all Professional and Premium Plan customers.

You may edit a Shop Network Service Entry to:

IMPORTANT: Service Entries must be in a Completed state to be available for editing.

To Edit a Shop Network Service Entry:

  1. Click Service in the Sidebar Navigation and select Service History to view the Service History Index.
  2. Locate the Completed Service Entry, click the More Actions Button, and select Edit.

Maintenance Shop Network Service Entries include Service Codes that can be linked to your Fleetio Service Tasks. Service Codes will then be grouped under the selected Service Task as a single Line Item.

Maintenance Shop Network automates the process of data categorization and reporting from external repair orders. Fleetio translates service to a standard classification system with standardized Service Tasks. However, some codes may not have enough information to link automatically. In this case, users can link Service Codes to Service Tasks manually.

PERMISSIONS: Users must have the Service Task Management ‘Edit’ permission in their User Role & Permissions to globally map a Service Code to a Service Task while editing a completed Service Entry. 
Users without Service Task Management ‘Edit’ permission can perform a one-time mapping of a Service Code to a Service Task while editing a Service Entry.

To link unmapped Service Codes:

  1. Click the More Actions Button for the Completed Service Entry and select Edit as shown above.
  2. Scroll to the Line Items section of the Service Entry.
    • If there are Auto Integrate service codes that are unmapped, you will see an alert in the Line Items section.
  3. Click Map Codes to Service Tasks.

  • Unlinked Service Codes are listed individually. The Service Codes are identified as Labor, Part, or Fees.
  1. Select the Service Task by clicking the Please Select drop-down and searching for the correct Service Task.
    • Check the box under Global if you would like to save the Service Code globally for all past, present, and future entries.

PERMISSIONS: Users must have the Service Task Management ‘Edit’ permission in their User Role & Permissions to globally map a Service Code to a Service Task while editing a completed Service Entry.

  1. Click Save.

Alternatively, you can also edit an existing Service Task from the Service Task Index.

  1. Click Service in the Sidebar Navigation and select Service Tasks.
  2. Locate the Service Task, click the More Actions Button, and select Edit.
  3. If there are no Service Codes mapped to a Completed Service Entry, search for the appropriate code in the Mapped Service Codes section. Then, click Save.

After the mapping has taken place, the Fleetio Service Task will display as a Line Item with any Service Codes listed beneath.

PERMISSIONS: Users must have the Service Task Management ‘Edit’ permission in their User Role & Permissions to globally map a Service Code to a Service Task while editing a completed Service Entry. 
Users without Service Task Management ‘Edit’ permission can perform a one-time mapping of a Service Code to a Service Task while editing a completed Service Entry.

To link mapped Service Codes:

  1. Click the Service Task Mapping link in the Line Items section.

  1. Select the correct Service Task for the Service Code and click the Save button.

If all Service Codes are removed from a Service Task, the task will be automatically removed from the Service Entry.

When the Service Entry is saved, the costs for the Service Code will be subtotaled on the Service Task Line Item.

Any existing Service Reminders for this Service Task will now be resolved by the Service Entry, or you may create a new Service Reminder if none exists.

IMPORTANT: Once a Repair Order has been completed via Maintenance Shop Network, you will not be able to add any existing reminders to the corresponding Service Entry.

Once Service Codes have been mapped to a Service Task, you may then Link Issues to the specific Service Task, showing that an open Issue has been resolved.

  1. Click the More Actions Button for the Completed Service Entry and select Edit as shown above.
  2. Scroll to the Line Items section of the Service Entry.
  3. Click the Link Issues button on the Service Task row.

  1. Use the checkboxes to select available open Issues and click Save.

Resolve Issues

Maintenance Shop Network Service Entries can be used to resolve open Issues, even if they are not directly associated with a Service Task.

  1. Click the More Actions Button for the Completed Service Entry and select Edit as shown above.
  2. Scroll to the Line Items section of the Service Entry.
  3. Check the boxes for any open Issues you wish to resolve. https://fleetio.okta.com/app/UserHome

  1. Click the Save Service Entry button.

Change the Vehicle

Occasionally, a maintenance shop will select the incorrect Vehicle for the Repair Order in the Auto Integrate system. The corresponding Service Entry, which is then created in Fleetio, will also be attributed to the incorrect Vehicle.

To change the Vehicle:

  1. Click the More Actions Button for the Completed Service Entry and select Edit as shown above.
  2. Choose the correct Vehicle from the drop-down menu and click the Save Service Entry button.

Change the Meter Entry

To change the Meter Entry on a Maintenance Shop Network Service Entry:

  1. Click the More Actions Button for the Completed Service Entry and select Edit as shown above.
  2. Edit the Odometer or Secondary Meter in the Details section and click the Save Service Entry button.

NOTE: You can mark the Meter Entry as void, if applicable.

Change the Completion Date

To change the Completion Date on a Maintenance Shop Network Service Entry:

  1. Click the More Actions Button for the Completed Service Entry and select Edit as shown above.
  2. Edit the Completion Date in the Details section and click the Save Service Entry button.

NOTE: The Completion Date cannot be backdated to a date before the Start Date.
