Introduction to Tool Management

Fleetio is the backbone of fleet maintenance! The core Fleetio system revolves around the management of fleet Vehicles and other large assets. Typically, these assets are used for transporting people or goods, or for accomplishing major functions which are central to your operations.

• Examples of Vehicles in Fleetio include cars, trucks, boats, trailers, airplanes, forklifts, bulldozers, and excavators.

What about the hundreds or thousands of auxiliary assets that equip your team for a particular purpose, perform a small job, or otherwise facilitate the management of your fleet? Most organizations invest in tools and small equipment. These assets have fewer maintenance needs than vehicles, yet they are valuable enough to warrant detailed purchase record-keeping, location tracking, assignment to responsible individuals, document and photo storage, and more.

• Examples of Tools in Fleetio include hand tools, generators, lawnmowers, hedge trimmers, chainsaws, power drills, laptops, and smartphones.

Service Entries for Tools

Service Entries are a simple way to log a completed service for your Tools in Fleetio, and offer a fast and easy method of tracking Tool service history and maintenance expenses.

Tools Index

The Tools Index is where you'll go for an at-a-glance view of your data. Details are displayed in a table with customizable columns so that you can sort, filter, and take various actions on your tools.

• Click the tabs to view All, Assigned, Unassigned, Archived, or other Saved Views, or click + Add Tab to create a new view (a)
• Use Search (b) to search for a Tool asset, including searching by full or partial serial number
• Use the Filters (c) to narrow the results displayed
• Click the Index Settings button (d) and use the Manage Columns option to select and reorder the visible columns in the data table
• Click the More Actions button (e) to View, Edit, Assign, Link/Unlink, Add an Issue, and Archive
• Click + Add Tool (f) to add a new Tool asset
  

Bulk Actions

• (g) Multi-select rows via checkbox, then apply Bulk Actions (h) to Update Tools, Assign/Unassign from Contact, Link/Unlink from Vehicle, Print Labels, Archive, and Add or Remove Watchers
  

Tools Overview

The Tools Overview displays details, activity, comments, and attachments for each individual tool asset. Various actions are available from this screen.

Click any row from the Tools List to View.

• (a) Scroll to review Tool Details, including brand, model, serial number, etc. This is also where any Linked Vehicle will display.
• (b) Current and past Assignments to Contacts are shown in a middle column or below the Details section on narrow screens. The action button (c) adjusts to Check In/Check Out.
• (d) Expand or collapse the right sidebar for Comments, Photos, and Documents (e). Add a Comment (including the ability to mention other users in comments) (f), or upload a file, depending on the active tab.
• (g) Manage existing Watchers or Add another Watcher, or click to Watch/Unwatch (h).
• (i) Click More Actions for View, Edit, Assign, Link, View Record History, and Archive.
• (j) Edit to make changes to details
• (k) Add a Tool Assignment or Issue
• (l) See the Last Known Location for the Tool asset. This location is tracked whenever the item is Scanned in Fleetio Go.
  

Pinned Fields

Fleetio allows you to pin fields you commonly use to the top of the Details card. Once pinned, these fields will be added to the Pinned Fields subsection. To pin a new field, hover over the field and click the Pin Icon. To unpin a field, click the Pin Icon again.

Reorder your pinned fields by clicking and dragging the reorder icon on the left side.

Tools Settings

Tools Settings include various configuration options, such as Tool Statuses, Tool Types, and Custom Fields that can be set as required.

Add Tools

Click the + Add Tool button from the Tools Index (shown above) to add an individual tool. Alternatively, save time and energy by importing multiple records from a spreadsheet.
