Service and Renewal Reminder Notifications

Service and Renewal Reminders in Fleetio help notify you and others when a task or service is upcoming. Once a reminder is scheduled, Fleetio will send notifications to Users on a regular basis until the reminder is reset.

To receive notifications, Users need to have the following:

Adding Notifications to Reminders

When creating a Service Reminder, Vehicle Renewal Reminder, or Contact Renewal Reminder:

  1. Select the Enable Notifications checkbox to enable notifications.
  2. Add any Users who should be notified to the Watchers field. By default, you are added as a watcher when you create a reminder.

You can change the notification preferences, Users, or due date at any time.

Notifications are triggered based on the Due Soon Threshold and the Due Date. Users will receive, in order:

  • A notification when the reminder is due soon
  • A notification when the reminder becomes overdue
  • A notification once a week until the reminder is reset

NOTE: If a User is not receiving emails, suggest they check their spam folder. If the problem persists, check with your organization's IT department to ensure Users are able to receive emails from all Fleetio Domain Names.

Add or Remove Watchers for Multiple Reminders

If you want to add or remove watchers from multiple Reminders:

  1. Click Reminders in the Sidebar Navigation, then select either Service Reminders, Vehicle Renewals, or Contact Renewals.
  2. Select the checkboxes for the Reminders you'd like to change.
  3. Click the Actions Drop-down Menu and select Add or Remove Watchers.

Add Watchers

Use the drop-down menu to select the Users you want to add as watchers, then click the Save button.

If a User is already watching one of the selected reminders, they will only be added to the remaining reminders.

Remove Watchers

Current watchers, along with the number of the selected reminders they are watching, will be shown. Select the checkbox next to each watcher that you want to remove, then click the Save button.

Send Notifications On Demand

Manually trigger a notification to be sent at any time.

From the Service, Vehicle, or Contact Reminder Index, click the More Actions Button for a reminder, then select Send Notifications.

NOTE: The user who clicks Send Notifications will not be sent a notification.
