Meter Usage: Average Usage per Day and Utilization Summary

The Utilization Summary Report enables you to view various usage metrics and calculations for the entire fleet and can be filtered for a specific time range. In Fleetio, Usage or Utilization is defined as the difference between two consecutive Meters. This value may be measured in miles or kilometers (distance), or in hours (usage), depending on the meter configuration for the vehicle in question.

Usage per Day is one of the vehicle metrics displayed on the Vehicle Overview.

Average Usage per Day is a Vehicle Setting that is used in Service Reminder Forecasting. This value can either be automatically calculated or manually configured.

Usage per Day Calculation

Usage per Day provides a benchmark for your vehicle and equipment operations.

For any given Time Frame, the average Usage per Day is calculated as:

(max meter value - min meter value) / (max meter date - min meter date)

Therefore, in order to calculate a Usage per Day for any given date range, at least TWO meter entries are required: the maximum and the minimum value within that date range. Where Usage is displayed as "0" in Reports, there may be fewer than two meter entries within the selected date range.

Vehicle Details Page

The Utilization Card on the Vehicle Details Page displays the actual meter per day value. There is no date range filter on this screen; thus, the calculation spans all meter entries for the Vehicle for all time.

Utilization Summary Report

IMPORTANT: The Utilization Summary Report is not available on Fleetio's Essential Plan.

To view the Utilization Summary Report:

  1. Click Reports in the Sidebar Navigation.
  2. Click Vehicles in the Report Types Menu.
  3. Click Utilization Summary.

This Report includes data for all Vehicles in your fleet. The report offers various filters, including an optional date range filter so that you can calculate the average usage for a specific time frame.

To narrow the results displayed, click the Filters button to pull up the Filters sidebar, then click Add Filters to choose a filter.

TIP: If you'd like to view average usage for a specific date or date range, choose the Time Frame filter.

You can choose a time that is within a specific range, such as last month or last 90 days, a time that is between specific dates, or a time that is on, is on or before, or is on or after a specific date.

In the example below, the report will show Primary Meter data that is between May 1, 2023, and July 31, 2023.

By default, the Time Frame filter is not selected and shows results for all time.

After applying any desired filters, check the table of results to view your data.

We've provided a list of useful columns available in this report, identified (a) through (h), and explained in further detail below.

(a) Meter Usage per Day (lifetime) is the average usage for the vehicle for all time

(b) Min Value and Min Date are the meter reading and corresponding date of the first recorded Meter Entry within the specified Time Frame

(c) Max Value and Max Date are the meter reading and corresponding date of the last recorded Meter Entry within the specified Time Frame

(d) Usage is Max Value minus Min Value

NOTE: Because Usage is the difference between two meter entries, Fleetio requires a minimum of two readings within any given date range in order to calculate the value. Where Usage is displayed as "0" in Reports, there may be insufficient data for the selected date range.

(e) Avg/Day is the average usage for the vehicle for the specified Time Frame

Other columns available in the Utilization Summary Report use lifecycle estimates for your vehicles and the calculated Avg/Day to project when that vehicle will need to be replaced.

(f) Remaining Usage in Meter Units is the number of miles/kilometers/hours remaining based on lifecycle estimates

(g) Date Projected to Reach Estimated Useful Life is the date when a vehicle would reach its estimated useful life in miles/kilometers/hours based on the Avg/Day calculation. This number will change with the Avg/Day calculation based on the filtered Time Frame

(h) Utilization Rate is a metric to see how a vehicle is tracking compared to its estimated utilization. Fleetio uses lifecycle estimates divided by your logged usage per day to calculate your utilization rate. A rate above 100% indicates over-utilization. A rate below 100% indicates under-utilization. This number will change with the Avg/Day calculation based on the filtered Time Frame

Vehicle Settings: Average Usage per Day

Fleetio uses the Average Usage per Day in Service Reminder Forecasting.

By default, this value is automatically calculated by the formula noted above. You may optionally override this automatic calculation and manually enter a value instead.

Edit the Vehicle and navigate to Settings, then uncheck the Automatically calculate checkbox. Enter the desired value in the Average Usage per Day box to manually set it.
