Attachments - Photos, Documents, and Comments in Fleetio Go

Electronic files, photos, and videos are essential components of a complete Vehicle history and are often required by insurance companies and regulatory agencies.
In many cases, these Attachments are most easily added from a mobile device while you are at the Vehicle or on location.
The Vehicle record itself, along with other record types like Service Entries, Work Orders, Issues, Tools, Parts, and Contacts, allow you to attach Photos, Documents, and Comments (including the ability to @mention another User), as well as videos stored on your phone (done by selecting Choose File in the Documents section).
Other record types, such as Inspections, allow you to enter or upload photos or comments.
NOTE: If your users utilize Fleetio Go in Spanish, Photos, and Documents that are uploaded in English will not be translated and will appear in English. Learn more in Fleetio Go in Spanish for Administrators.
IMPORTANT: Document storage capacity in Fleetio is determined by your organization's current plan.
- Essential Plan includes up to 2.5 GB of Document Storage.
- Professional Plan includes up to 25 GB of Document Storage.
- Premium Plan includes up to 250 GB of Document Storage.
All other plans have unlimited Document storage. Contact your Account Owner or Administrator if you have questions about your plan.
Vehicle Details Page
To view attachments from the Vehicle Details Page:
- Tap Browse in the bottom menu, then tap Vehicles.
- Tap the Vehicle in question to view the Vehicle Details, and scroll to the bottom of the Menu section.
- Tap the corresponding option to view or add Photos, Documents, or Comments.
Tapping Documents shows all documents that have been added to the Vehicle, including videos, Shared Documents, and documents attached to related records, such as Issues, Service Entries, and Work Orders.
NOTE: In Fleetio Go, only Photos that have been added from the Vehicle Details Page will be displayed when you tap Photos. Photos attached to other record types, such as Service Entries or Fuel Entries, are shown in their respective records.
Attachments Section - Service Entries, Work Orders, Issues
For Service Entries, Work Orders, and Issues, these maintenance-related record types may be documented with photos of damage, invoices for parts, electronic manuals, warranties, and more. As work is performed, Technicians may wish to record observations or note special actions taken.
Each of these record types includes an Attachments section where you may enter or upload Photos, Documents, or Comment.
These options are at the bottom of the page for each of these record types.

Attachments Section - Contacts
For a Contact record type, it may be useful to save a Photo, upload a scan of an ID card, or store electronic copies of industry certifications or licenses.
- Tap Browse in the bottom menu, then tap Contacts.
- Tap the Contact in question, and scroll to the bottom to find the Attachments section.
Comments - Service Reminders, Vehicle Assignments
Service Reminders and Vehicle Assignments include a Comments section where you may record any notes or observations.

Comments and Photos - Inspection Items
The method for recording Comments and Photos is slightly different in an Inspection.
First, Inspections may include a Photo Item Type, which requires you to upload a photo.
Second, each individual Inspection Item offers the option to include a Photo or Comment with the item. Pass/Fail items may even be configured to require a Photo or Comment in order to submit a response.

Translating Comments
Fleetio Go gives you the option to translate comments entered in Spanish into English.
NOTE: Currently, comments entered in English cannot be translated into Spanish.
If your app language is set to English, and you see a comment in Spanish, tap the See Translation button to translate that comment into English.

Tap See Original to view the original comment with no translation.
