Bulk Manage Parts & Inventory

The Bulk Manage Parts tool allows you to make changes to multiple Parts in your Fleetio account at once.

PERMISSION: Account Owners, Administrators, and Regular Users, with permission by Role, can use the Bulk Manage Parts tool.

IMPORTANT: If you are using an Advanced Inventory Valuation Method, the Bulk Manage Parts menu will not be available as an option.

Begin by clicking Parts & Inventory in the Sidebar Navigation and selecting Bulk Manage Parts.

Parts are managed by location. You'll need to click the Location tab for the location you want to manage.

NOTE: The Bulk Manage Parts tool will open the last Location viewed, so be sure to verify you're on the correct Location tab before making changes.

Active and Inactive Parts

Parts can either be "Active" (currently stocked) or "Inactive" (not currently stocked) at each Location. Click the Active and Inactive buttons to view the respective parts at the currently-selected Location.

Activating Parts at a Location

Click Inactive (a) to view parts not currently active for the selected Location. You can activate Parts at that Location using the checkbox in the Active? column (b), or you can activate all inactive Parts for the Location at once using the Activate All button (c).

Scroll to the bottom of the page and click the Save button to commit the inventory changes.

NOTE: To enable inventory tracking for a part, it must be Active.

Deactivating Parts at a Location

Click Active (d) to view currently active parts for the selected Location. You can deactivate parts at that Location using the checkbox in the Active? column (e), or you can deactivate all active parts for the Location at once using the Deactivate All button (f).

Scroll to the bottom of the page and click the Save button to commit the inventory changes.

Updating Part Quantities in Bulk

You can track and adjust inventory for any Active part at a location. Enter the value from your inventory count for each part in the New Qty box. Rows that have inventory adjustments will be highlighted in yellow.

NOTE: The New Qty value is the new TOTAL quantity for that part at that Location. The value is NOT added to or subtracted from the Current Qty amount.

Scroll to the bottom of the page and click the Save button to commit the inventory changes.

Inventory Activity

To view a log of all Parts inventory adjustments, click on a Part in the list to view the Part Detail Page.

Click the Inventory Activity tab to view inventory changes. You can also click the Work Order Activity tab to view Work Orders where this part was used.

Printing the Bulk Update Parts Worksheet

If you'd like to take inventory by hand and enter the data into Fleetio at a later time, you can print out the items on the current page by clicking the Print Worksheet button.

NOTE: The printed worksheet will be a representation of only those items on the current list you are viewing. This includes the currently viewed part Location, the Active/Inactive selection, and any Filters.
