Table of Contents
The Operating Cost Summary Report in Fleetio calculates operating cost summaries for one or more vehicles, displaying results in both a graph and a table. Get a high-level summary of costs, broken down by service, fuel, and other costs, as well as the average cost per meter for a selected timeframe. View aggregate totals or drill down into individual vehicles to provide insight into fleet operating expenditures.
To view the Report:
- Click Reports in the Sidebar Navigation.
- Click Vehicles in the Report Types menu.
- Click Operating Cost Summary.
The results displayed will include all vehicles that a User has access to view according to their User Roles & Permissions.
The cost values are derived as follows:
Service Cost |
Sum of the costs of labor, parts plus applicable sales tax associated with a vehicle's Service Entries |
Fuel Cost |
Sum of the costs associated with a vehicle's Fuel Entries * |
Other Cost |
Sum of the costs recorded as Expense Entries for a vehicle (e.g. Loan/Lease Payments, Insurance, Miscellaneous Fees, etc.) |
Total Cost |
Sum of Total Service Costs (Labor plus Parts plus Tax) plus Total Fuel Costs plus Total Other Costs |
Cost/Mile, Cost/KM, or Cost/Hr

* Fuel Cost excludes costs associated with the vehicle's first Fuel Entry, as well as any Fuel Entries where the meter is marked as void or the Reset Usage flag is set to ON
Apply additional Filters (a), group report results by Vehicle Group or by Vehicle Type (b), Customize Columns (c), and Save & Schedule or Print, Export, or Share the Report (d).
Reporting Examples
Use the Sort and Filter options shown above to narrow the results displayed and answer these common questions:
- Which vehicle currently has the highest/lowest operating cost for a specific group?
- Which vehicle had the highest operating costs across the entire fleet for a specific date range?
- What was the operating cost last month for each vehicle?
