Contacts that are classified as Technicians in Fleetio can log labor hours by clocking into and out of Work Orders. You can only clock in or out of Work Orders that have already been created and saved in Fleetio.
NOTE: This article covers clocking in and out using the Fleetio web app. For Fleetio Go instructions, see Clock In and Out of a Work Order in Fleetio Go.
IMPORTANT: Clocking in and out of Work Orders is only available with the Fleetio Premium plan.
PERMISSIONS: Users need the following permissions to clock in and out of Work Orders:
- Permission to Edit Work Orders. Learn more in Fleetio Manage Permissions Reference.
- Classified as a Technician. Learn more in Contacts Overview.
Only Account Owners and Administrators can see the Labor In Progress Dashboard Widget to stop timers for other Technicians.
In order to clock in or out of a Work Order, you must be logged into your Fleetio account. Also, note that if you are classified as a Technician, you can only clock in or out as yourself, you cannot clock into or out of a Work Order on behalf of another User.
Track Labor
To clock into a Work Order, start by locating the Work Order in Fleetio.
- Click Service in the Sidebar Navigation, then click Work Orders.
- Use search and filters to locate the Work Order you need to Track Labor on.

- Click on the Work Order to view it in more detail.
- Click the Track Labor button and choose which Service Task you'll be working on.
- You can search for a specific Service Task, choose from a list of Service Tasks added to the Work Order, the most used Service Tasks for the Vehicle, or choose General Labor.

Active Timer
Clicking Track Labor will start the Active Labor Clock, a timer displayed in the bottom left corner of the Fleetio web app and in the Labor section of the Work Order.

The Active Labor Clock is persistent, meaning you can continue to navigate around Fleetio, and the clock will remain in the bottom left corner.
NOTE: You can only have one Active Labor Clock in use at a time. If you've already started work on one Work Order, you cannot start work on another.
Stop Labor
To clock out of a Work Order:
- Click the Clock Stop button in the Active Labor Clock, or click Stop Labor in the Line Items section of the Work Order.

- In the Add Labor pop-up, you can change the Start Date and time (a) or End Date and time (b) if necessary. There's also a section where you can optionally enter a Note (c).

- Click the Save button when you're finished.
Dashboard Widget
With the Labor in Progress Dashboard Widget, Account Owners and Administrators can view Active Timers for all Technicians on their Fleetio Dashboard.
NOTE: The Labor in Progress widget is only available to Account Owners and Administrators.
Add the Widget to your Dashboard by clicking Manage Widgets and selecting the checkbox for Labor In Progress under the Service section.

In the Widget, you'll see a list of all Technicians with Active Timers.
Clicking on an entry in the list will bring you directly to the Work Order where the timer was started. Clicking on a Technician's name will bring you to their Contact Details Page.

You can stop the timer for any Technician in the list. This can be useful if a Technician clocked into a Work Order, but did not remember to clock out.
- Click on the Stop Timer button to the right of the Technician's name in the Widget.

- In the Add Labor pop-up, you can make adjustments to the Hourly Rate (a), Start Date/Time (b), End Date/Time (c), and add any optional Notes (d).
- As you make changes, the Labor Subtotal at the bottom of the window will update automatically.

- When you're finished, click the Save button in the bottom right.
Reporting
The Labor Time Entries Report shows the timecard for all labor time entries created by clocking into a Work Order. There's one row in the report for each time entry. You can find this Report in the Fleetio Web app by clicking Reports in the Sidebar Navigation, then clicking Labor Time Entries List in the Work Orders section.
Fleetio Go
Technicians can also clock in and out of Work Orders in the Fleetio Go mobile app. For more information, see Clock In and Out of a Work Order in Fleetio Go.
