TIP: In Samsara, "Tags" serve as the direct counterpart to "Groups" in Fleetio. Users can confidently leverage the same structural organization in Tags as they do with Groups in Fleetio.

Supported Device Types

Fleetio currently integrates with the following Samsara device types:

  • Vehicles (VG34 with GPS and CAN bus interface)
  • Trailers (AG52, AG26 attached via 7-way cable)
  • Reefers (AG52, AG26 attached to a refrigerated trailer)
  • Powered Equipment (AG52, AG46P, AG26 attached via APWR, CAT, or J1939 cable)
  • Unpowered Assets (AG46)

You can identify your Samsara device types in the Devices section of your Samsara account.

NOTE: The above list of supported device types is not comprehensive and may not contain newer devices that have been recently released. Fleetio expects that newer devices will fully work as expected; however, if you have fully set up the Samsara integration and have questions or concerns about a newer device that is not working as expected, please contact Fleetio support.

Adding the Integration

Before creating an API token in Samsara, it's good to double-check your assets in Fleetio. Once you're ready, you'll create the token, then copy it into Fleetio and configure your settings.

Check Fleetio Assets

There are two items to check in Fleetio:

  • Assets are configured with the proper meters and meter measurement units. Samsara supports primary/secondary meter units in miles, kilometers, and engine hours.
  • VINs are correct for each asset in Fleetio and Samsara. VINs are used to automatically map Samsara devices to Fleetio, so an asset with an incorrect or missing VIN will need to be manually mapped.

NOTE: The following asset types do not have VINs and will not be auto-mapped to Vehicles in Fleetio: Reefers, Trailers, Powered Equipment, Unpowered Equipment.

Create Samsara API Token

IMPORTANT: Samsara released a major change to how they handle data access and permissions when it comes to their API tokens. This change went into effect on February 1, 2022, and has an immediate impact on new customers and new integrations set up after that date. Follow the instructions below for creating a new API Token and reference Samsara API Token Integration Setup if you have an existing API Token.

  1. Log in to your Samsara account.
  2. Select the Settings gear in the lower left corner of your Samsara dashboard, then select API Tokens from the Developer section.
  3. Select + Add an API Token.

  1. Enter a Name, such as Fleetio Integration.
  2. Ensure the Tag Access option is set to Entire Organization.

  1. Set the Global dropdown under Scopes as Global Read and Global Write.

  1. Click Save.

Enter the API Token in Fleetio

  1. Click Integrations in the Sidebar Navigation.

  1. Click Telematics in the Integrations Directory.

  1. Click the Connect button in the Samsara tile.

  1. Enter the API Token you created in Samsara, select your Region, and then click Next.

  1. Choose whether to Sync Vehicles and Devices in Fleetio, which will import your Samsara vehicles into Fleetio, or Only Add the Devices, then click Connect Samsara to Fleetio.

It may take a few minutes for Fleetio to process the integration and map your assets from Samsara to Fleetio.

NOTE: The integration does not pull in historical data from Samsara. It will only import new data after the point the integration is set up.

Manually Map Assets

If an asset doesn't have a VIN or can't be automatically mapped from Samsara, you can manually map devices.

  1. Click Integrations in the Sidebar Navigation.
  2. Click My Integrations in the Integrations Directory.

  1. Click the More Actions Button for Samsara and select Manage Devices. This will bring you to the Telematics Devices list filtered by the Samsara integration.

  1. Choose the corresponding Fleetio Vehicle by clicking the Unassigned link under the Assigned Vehicle column in each unmapped row.

NOTE: The Vehicle Year/Make/Model values will be displayed as long as they are available through the Samsara API. In some cases, these specifications are visible in Samsara, but cannot be pulled for display in Fleetio.
License Plate and notes from Samsara will be pulled into Fleetio.

Managing Integration Settings

Settings can be adjusted at any time after your initial setup. To get to your settings:

  1. Click Integrations in the Sidebar Navigation.
  2. Click My Integrations in the Integrations Directory.

  1. Click the More Actions Button for Samsara and select Edit.

  1. In the Settings section, use the checkboxes to turn on/off the Fuel Vendor Location Alerts, Engine Faults, or DVIR Defects.

NOTE: The Sync Trailer (No Gateway Devices) setting will delete data for devices not mapped to a Vehicle. This setting will be disabled for new Samsara integrations from 10/10/2022 forward. For existing integrations before this date, if you have devices mapped to Vehicles, this setting will be enabled by Fleetio. If you do NOT have any existing devices mapped to Vehicles, the setting will be disabled, and any existing devices will be deleted.

  1. When you're finished, click Save.

Fuel Vendor Location Alerts

If the Fuel Vendor Location Alerts setting is enabled, Fleetio will notify the Account Owner if a fuel entry is logged outside of the designated Exception Radius. These Exceptions only occur on transactions from a fuel card integration.

Fault Rules for Fault Codes

If the Engine Faults setting is enabled, Fleetio will create Faults against the asset from Diagnostic Trouble Codes and other engine alerts using your Samsara device.

Currently, Fleetio can import OBD-II and J1939 Faults from Samsara devices. By default, these are imported nightly, but there is an optional setting to import them hourly.

Issues from DVIR Defects

Samsara DVIR Defects fall into one of three general types.

Defect existed and has now been corrected (Defects Resolved). No

Import DVIR Defects

If the Import DVIR Defects setting is enabled, Fleetio will create an issue from certain DVIR Defects entered through the Samsara mobile app. These are imported every hour.

If a defect is imported, Fleetio will:

  • attempt to match the first and last name of the Samsara user to a Fleetio contact.
  • attempt to provide an issue name. Depending on the Samsara DVIR source, the name may appear as "Other." This can happen when a driver selects multiple attributes for a given component that has a defect.

IMPORTANT: Fleetio does not include DVIR Defect photos and does not import DVIRs created via the Samsara Mechanic Portal since these only show resolved defects.

IMPORTANT: Fleetio does not support trailer defects that have been logged against the Vehicle.

NOTE: DVIR Defects that come into Fleetio via the Samsara integration will be visible as Issues on the Vehicle record and when a Work Order is created for a Vehicle with a DVIR defect.

Push Issue Resolutions back to Samsara

IMPORTANT: Pushing Issue Resolutions back to Samsara is an Advanced Integration Feature included only with the Premium Fleetio Plan.

If you enable Pushing DVIR Defect Resolutions Back to Samsara, Fleetio will resolve issues in Samsara when they are resolved in Fleetio, thereby no longer showing as an open defect. This only applies to issues that have been resolved, not closed.

IMPORTANT: The Resolve Date/Time must be after the Reported Date/Time in order for the Resolution to sync to Samsara.

IMPORTANT: Once an issue is resolved in Samsara, it cannot be reopened, even if you reopen the Issue in Fleetio.

Refreshing Meters

Primary and secondary meter readings automatically sync every day at midnight (in your account's time zone), but you can also manually trigger an update at any time.

  1. Click Integrations in the Sidebar Navigation.
  2. Click My Integrations in the Integrations Directory.

  1. Click the More Actions Button for Samsara and select Refresh Devices.

With this integration, Fleetio pulls meters from your Vehicle's ECU. If the ECU value is not available for any reason, Fleetio will pull the calculated GPS meter from Samsara.

On the Vehicle Details page, you can go directly to Samsara by clicking the View in Samsara link in the Integration section.

Viewing Telematics Sensor Data on a Vehicle

For Vehicles that use telematics devices with the Samsara integration, you can view sensor data directly from the Vehicle in Fleetio. Reference the Viewing Telematics Sensor Data on a Vehicle article for more information.

IMPORTANT: For Essential and Professional Fleetio Plans, Sensor Data is saved for seven (7) days.

For the Premium Fleetio Plan, Sensor Data is saved for 14 days.

Troubleshooting

I'm getting a message that says, "Samsara Vehicle Gateways are missing VINs." What do I do?

First, confirm you are using a supported Samsara device. If you are using a supported device, you need to enter the missing VINs in Samsara.

  1. Log in to your Samsara account using a web browser (this cannot be completed in the mobile app).
  2. Select the icon in the lower-left corner of the Samsara dashboard, then select Devices > Gateways.
  3. Select the Add VINs button on the warning banner
  4. Enter the corresponding VIN for each Vehicle name, then select Save.

I'm not receiving meter updates and faults.

Check that the VIN is entered properly in Samsara and that it is mapped to the correct asset in Fleetio.

My meter keeps showing the same value.

Check to see if there is a tooltip next to the entry that provides the most recent date and time the meter was pulled. The Advanced Meter Topics article covers this in-depth.

Samsara Driver App Custom Tile

Fleetio Go can be launched from within the Samsara Driver mobile app using a custom tile deep link. This functionality is set up and managed directly within the Samsara Cloud portal.

NOTE: Fleetio Go must be installed on the driver's mobile device for the Custom Tile to work properly.

To enable the Custom Tile:

  1. Navigate to the Samsara Cloud Portal (https://cloud.samsara.com/) and log in.
  2. Click the Gear Icon in the menu on the left to access your settings.

  1. Scroll down to the Fleet section and click Driver App.

  1. Click the Features tab, then in the Custom App Tiles section, click Add Tile.

  1. Complete the fields in the pop-up:
    • In the Tile Name text box (a), enter Fleetio or Fleetio Go.
    • In the Deep Link or URL text box (b), enter fleetiogo://dashboard
    • Select a tile background color (c).

  1. When you're finished, Click Done.

The custom tile will download to the Samsara Driver App the next time the driver opens the app on their mobile device.

When the user taps the custom tile, Fleetio Go will open to the main dashboard.
