Vendor Location Alerts

Vendor Location Alerts in Fleetio let you know if a fuel transaction occurs outside of a given radius from the fuel vendor.

NOTE: Vendor Location Alerts are only available for Fleetio accounts that have both a Fuel Card Integration and a GPS / Telematics Integration which supports Vendor Location Alerts.

 

How does it work?

  1. Your fuel card provider gives Fleetio the address for a fuel merchant on each Fuel Entry. This is the vendor address in Fleetio.
  2. Fleetio compares the vendor address and the vehicle location at the time of the Fuel Entry. If the distance between the two locations is greater than the defined radius, Fleetio generates an alert.
  3. Fleetio then sends an email/push notification based on your notification settings. Alerts are sent when the Fuel Entry is recorded.

Set a Vendor Location Alert Radius

  1. Go to your Account Menu and select Settings.

  1. In the Settings sidebar, click Fuel & Energy Settings in the Fuel & Energy section.
  2. Select your preferred Fuel Vendor Alert Location Radius from the drop-down menu, then click Save Fuel & Energy Settings.

View Vendor Location Alerts in Fleetio

Vendor Location Alerts can be found:

  • In the Fuel History list with an alert icon next to the vendor address.
  • By filtering the Fuel History list to only include Fuel Vendor Location Alerts. This option is in the Filters menu under Fuel Entry Alert Type.
  • By selecting a Fuel Entry record from Fuel History in the Vehicle Details menu.
  • In the Fuel History by Vehicle report as a selectable column.

Disable Vendor Location Alerts and Notifications

  1. Go to your Account Menu and select Settings.

  1. In the Settings sidebar, click Fuel & Energy Settings in the Fuel & Energy section.
  2. Select "Disabled" from the drop-down menu, then click Save Fuel Settings.

This will disable both the Location Alerts in Fleetio and email notifications.

Troubleshooting

There's an error with a fuel merchant's address

This error occurs if:

  • The fuel card provider may have the wrong address for a vendor.
  • The address may be wrong in Fleetio, such as the city being misspelled or the street address is on Line 2 instead of Address Line 1.

Check the address in Fleetio by selecting Vendors from the left sidebar menu. Hover over a vendor to bring up the More Actions Button and select Edit.

Adjust the address as needed.

NOTE: Adjustments to a vendor's address will only apply to new Fuel Entries.

There's a discrepancy between the time or location of an entry

In some cases, the vendor address information is correct, and the vehicle was in the right place at the right time, but the Fuel Entry time does not match that of the Location Entry reported by the GPS device.

Check this by selecting the Fuel Entry from the Fuel History page. The date of the transaction is located at the top of the Fuel Entry Details.

Next, go to the Vehicle Details Page, click the Location History Tab, and check the dates and locations of entries to correspond with the Fuel Entry.

If no entry exists, log into your GPS provider account to review the history logged for the GPS device itself.

If you have confirmed that any Vendor Location Alert is invalid, you may safely ignore the alert.
