Use Fleetio to Generate and Print Asset Labels

Generated using the Fleetio web app, these barcodes encode the Vehicle ID and may be printed to a standard printer according to the format options shown below.

PERMISSIONS: Account Owners and Administrators can print labels for ALL Vehicles, while Regular Users can print labels for any Vehicles they can View according to their Record Sets.

  1. Click Vehicles in the Sidebar Navigation and select Vehicle List.
  2. Use one of the quick filters next to the search bar to narrow the results, or click the Filters button to open a wide range of selections, including any custom Vehicle fields.
  3. Use the checkboxes to select Vehicles in the index:
    • Click the checkboxes to select individual Vehicles.
    • Click the checkbox next to the Name column header to select all Vehicles on the current page.
    • Click the checkbox next to the Name column header, then click Select all items to select the total number of records.
  4. Click the Actions Drop-down Menu and select Print Labels.

In the Print Labels window:

  1. (optional) Increase the value in the Select label quantity field (a) if you would like to print more than one label for each Vehicle (maximum quantity 10).
  2. Choose the Label Size (b).
  3. Click Generate Template (c).

IMPORTANT: Barcodes must be printed with specific dimensions and resolution in order to transmit maximum information. The Small size is the smallest possible barcode that can be read consistently by a barcode scanner.

  • Recommended labels for standard usage include Avery 5160 (Laser) and 8160 (Inkjet) for the small size, and Avery 5163 (Laser) and 8163 (Inkjet) for the large size.
  • Recommended labels for weatherproof usage include Avery 5520 (Laser) for the small size, and Avery 5523 (Laser) for the large size.

Once your template has been processed, a download link for a PDF file will appear in the lower corner. Download the file, then open it, load your printer with the appropriate label sheets, and print.

NOTE: Since the file is downloaded as a PDF intended for use with the Avery labels listed above, any printer can be used.

TIP: Make sure your printer settings are set to Scale 100% or Actual Size.

If you have Tools enabled in Fleetio, you can generate barcode labels for your assets using the Fleetio web app. These barcodes encode the Tool ID and may be printed to a standard printer.

  1. Click Tools in the Sidebar Navigation.
  2. Use one of the quick filters next to the search bar to narrow the results, or click the Filters button to open a wide range of selections.
  3. Use the checkboxes to select Tools in the index:
    • Click the checkboxes to select individual Tool assets.
    • Click the checkbox next to the Name column header to select all Tool assets on the current page.
    • Click the checkbox next to the Name column header, then click Select all items to select the total number of records.
  4. Click the Actions Drop-down Menu and select Print Labels.

In the Print Labels window:

  1. (optional) Increase the value in the Select label quantity field (a) if you would like to print more than one label for each Tool asset (maximum quantity 10).
  2. Choose the Label Size (b). You have the option of choosing small or large QR Codes or Bar Codes.
  3. Click Generate Template (c).

    • Click the checkboxes to select individual Parts.
    • Click the checkbox next to the Name column header to select all Parts on the current page.
    • Click the checkbox next to the Name column header, then click Select all items to select the total number of Parts.
  4. Click the Actions Drop-down Menu, and select Print Labels.

In the Print Labels window:

Troubleshooting

Labels are not lining up properly when printing:

If you are experiencing label alignment issues when printing, make sure you're opening the PDF using a program that supports viewing PDFs. Fleetio Support recommends the free Adobe Acrobat Reader if your PC does not have Adobe Acrobat or a similar program.
