Part warranties in Fleetio give you the tools you need to track warranties and requirements for stocked shop parts, alert technicians when parts under warranty are replaced, and run a report to see all part warranty opportunities when you’re ready to start claim submissions
IMPORTANT: Part warranties are only available with the Fleetio Premium plan.
PERMISSIONS: Account Owners and Administrators can view/manage all aspects of Part Warranties.
Regular Users require the following Permissions for their Role:
- Parts permissions - To create/edit/view part warranty terms on a part profile
- Warranties permissions - To see part and/or vehicle warranty opportunities on Work Orders
- Work Order permissions & Warranty Permissions - See Part Warranty opportunities on Work Order details and edit pages
Part Warranty Details
Part warranty details can be added when adding a new Part in Fleetio or by editing an existing Part.
TIP: See Parts Overview for instructions on adding new Parts with warranty details.
To add warranty details to an existing Part:
- Click Parts & Inventory in the Sidebar Navigation and select Parts List

- Locate the part in the Parts Index, click the More Actions Button, and select Edit.

- Scroll to the Warranty section and click Add Warranty to enter the warranty details

- Enter the following warranty details:
- Terms (a) - Select Limited, Lifetime, or Limited Lifetime
- For Limited or Limited Lifetime warranties:
- Enter the Coverage Duration (b) in Months or Years
- Enter the Coverage Distance (c) in Miles, Kilometers, or Hours
- Under Start On (d), select if the warranty starts on the Purchase Date or Install Date
- Select the Part Return checkbox (e) to display instructions in Work Orders to retain this Part for claim returns

- When you're finished, click the Save Part button.
When viewing a Part with a warranty, warranty information can be found in the Details card on the Overview tab:

Part Warranty Opportunities
If the part being replaced in a Work Order has an active warranty, the technician will be asked to confirm that they are replacing that part when creating or editing the Work Order.
They'll see details of the part being replaced, including its warranty coverage (a), installed date (b), and a link to the previous Work Order number (c) when that part was installed.
Technicians can click the checkbox (d) if they are replacing the warrantied part.
- If the part needs to be retained to be sent for warranty credit, they'll see Retain Part for warranty credit after selecting the checkbox.

When viewing a Work Order with replaced parts, you'll also see the details of the replaced parts in the Warranty Opportunities tile:
- Details include warranty coverage (a), installed date (b), and a link to the previous Work Order number (c) when that part was installed.

Part Warranty Opportunities Report
The Part Warranty Opportunities Report provides you with a list of all Part Warranty Opportunities from your Work Orders.
This report includes the following data for each Part Warranty Opportunity:
- A link to the Replacement Work Order Number (a) where the warrantied Part was replaced
- A link to the Vehicle Name (b) where the warrantied Part was installed
- A link to the warrantied Part Number (c)
- A link to the Original Work Order Number (d) where the warrantied Part was originally installed

To view the report:
- Click Reports in the Sidebar Navigation.
- Click Warranties in the Report Types menu and select Part Warranty Opportunities.
