In the event a duplicate Contact record is created in Fleetio, you can easily Merge Contacts. Contacts may be merged individually or in bulk via the Find Duplicates process.
NOTE: Source contacts who have User access cannot be merged into other Contacts.
Source vs Destination
Source and Destination Contacts determine which records will be retained once a merge is complete.
- When merging individually, the Contact you use to initiate the merge is the Source Contact, and the Destination Contact is where the Source record will be merged into.
- When merging in bulk, each Contact within a duplicate set will be labeled as the Source or Destination:

When a merge is complete:
- All Contact details, comments, documents, reminders, Issues, and Work Orders will be merged into the Destination Contact.
- If both Contacts have a value for the same field, the Destination Contact's value will be used.
- The Source Contacts will be deleted.
Merge Individual Contacts
- Click Contacts in the Sidebar Navigation.
- Locate the source Contact using filters or search.
- Click the More Actions Button at the end of the Contact's row and select Merge.

- In the Merge Contacts pop-up, search for the Destination Contact you would like to merge into and click the check button.

- Click the Merge button.
All Contact details, comments, documents, reminders, issues, and work orders will be merged into the selected Destination Contact.
IMPORTANT: If both contacts contain different values for the same field, the value for the Destination Contact will be retained.
Once the merge is complete, the original Contact will be Archived.

Bulk Merge Contacts using Find Duplicates
With the Find Duplicates feature, Fleetio will search for matching Email and/or Name fields to alert you to any duplicate Contacts.
- Click Contacts in the Sidebar Navigation.
- Click the More Actions Button on the top right and select Find Duplicates.

- On the Find Duplicate Contacts results screen, use the Find duplicates by drop-down menu to view Contacts that match by Name + Email, Email Only, or Name Only.

- Review the list of results:
- Merge sets of duplicates by clicking Merge Set (a).
- If you identify any mistaken matches, click the Edit button (b) to change the corresponding values of one of these Contacts to remove them from the list of results.
- Click the Merge All Duplicates button (c) to merge all sets of duplicates.

- If you clicked Merge Set or Merge All Duplicates, click the Merge button in the pop-up to confirm.

NOTE: If there are duplicates in your account that cannot be identified as duplicates by Name or Email, you must merge them individually, as shown above. If there are two Contacts with matching names that have separate User logins, they will not appear as duplicates.
