Manage Tool Assignments

Managing Tool assignments in Fleetio is a helpful way to keep track of your Tools and keep your team accountable. Contacts in Fleetio can be given the Operator classification, which allows them to receive Vehicle and Tool assignments. Once a Tool is assigned, it's displayed on their Contact Details Page, where you can view and manage these assignments.

PERMISSIONS: Users and Contacts must have the Operator classification for other Users to assign them to Tools. However, Users and Contacts can check out Tools regardless of their classification. Only Owners and Admins can change a User's classifications. See Contacts Overview for more information.

Assign Tools to Contacts

You can assign Tools from both the Tools Index and the Tool Details Page.

Tools Index

  1. Click Tools in the Sidebar Navigation to view the Tools Index.
  2. Locate the Tool you'd like to assign, click the More Actions button, and select Add Tool Assignment.

  1. Choose an Operator from the drop-down menu and click the Assign button.

NOTE: If the Tool is already assigned to another Operator, the assignment action will end the current assignment and begin the new one with the new Operator.

Tool Details Page

  1. From the Tools Index (shown above), click a row to view that asset's Tool Details Page.
  2. Click the Add Tool Assignment button (a). In the pop-up, choose the Operator from the drop-down menu and click the Assign button.

OR

  1. Click the Check Out button (b) to assign the Tool to yourself.
    • You can also Scan to Check In/Out (Beta) by scanning the QR code on the screen with your mobile device.

These options display as shown above if the Tool is currently unassigned; otherwise, an Unassign button is displayed. Click this to unassign the current Operator and proceed with the steps above.

View Tool Assignments by Contact

Contacts can have multiple Tools assigned to them at one time. You can view a Contact's current assignments on their Contact Details Page.

  1. Search for the contact using the main search bar or click Contacts in the Sidebar Navigation, then click their name in the Contact Index.
  2. On the Contact Details Page, click the Tool Assignments tab.

Here, you'll see a full history of Tools assigned to the Contact. Any current assignments will be marked with a Current tag.
