Navigate, Search, and Filter

This article provides a basic overview of the Fleetio Web App menus, navigation, search, and filtering options.

The Fleetio web app provides access to the views and features you use most frequently.

  • The Sidebar Navigation (a) shows the Fleetio modules you have access to and is organized to present the most frequently visited modules at the top.
  • Your Account Menu (b) gives you access to organization settings.
  • Search (c) to quickly find a record or data.
  • The Help Menu (d) offers access to the Help Center, Training, News, and Support.
  • The Quick Add Menu (e) allows for one-click new records in Vehicles, Service Entries, Fuel Entries, and more.
  • The Profile Menu (f) gives you access to your user profile, notification settings, and login & password settings.

The Sidebar Navigation is used to navigate to the pages in Fleetio that you have access to.

Click the Collapse icon at the top to collapse and expand the Sidebar Navigation.

Click a menu option in the Sidebar Navigation to show available Submenu options.

At the bottom of the Sidebar Navigation, click Settings to access Account Settings, or Help & Support to access the Help Center, Live Support Chat, or Email Fleetio Support.

Account Menu

The Account Menu at the top of the Sidebar Navigation provides organization-wide management tools:

Help Menu

Here, you'll find links to the Help Center, submission forms to Contact Support and Give Feedback, Training content, the Fleetio Community, and links to see What's New and the current Fleetio System Status.

Quick Add Menu

The Quick Add Menu provides easy access to add your most frequently used new records and Data Imports:

Profile Menu

The Profile Menu provides user-specific management tools for the logged-in user:

Search

Fleetio's search tool allows you to quickly search across records from various modules within Fleetio, checking multiple database fields and applying "smart" search techniques to provide relevant results.

To search, simply start typing any characters related to a Vehicle Name, VIN, License Plate, Operator, Service Task, or other data (a). The order of results displayed is based on an algorithm weighing the relevance.

Results are grouped by record type (b). Scroll to show more or use the drop-down to filter by record type (c). Also, note the Keyboard Shortcuts (d).

NOTE:

  • Regular Users will only see documents related to Fuel Entries or Service Entries if they select the Documents record type using the drop-down filter.
  • Search results do not include dates or calculated values, such as Work Order Totals.

TIP: The same universal search is available in the Fleetio Go mobile app.

Filter Options

Saved Views

Saved Views allow you to save a combination of Filters, Sorting, Column Configurations, and Display Type as a new tab in your Index pages, giving you easy access to the data you need with a single click.

Saved Views are available on these index pages, with more coming in the future:

  • Issues
  • Parts
  • Vehicles
  • Vendors
  • Work Orders

Tabs and Filters

For screens with tabs and filters, you can combine several filters to hone in on records.

Find commonly used filters at the top of the screen. Click a filter to bring up applicable selections, such as who an Issue is Assigned To or Labels. If you have too many fields to spot what you're looking for, use the search bar within the filter to find the right one.

If you want to filter for something that isn't a quick filter option, click Filters to bring up all the applicable filters for the screen. Combine filters to further refine results.

You can also sort records by certain groups, such as sorting your Inspection History list by Vehicle using the Group drop-down menu.

NOTE: Depending on your browser, Fleetio will remember the tabs and filters you select during a session. If you go to another part of Fleetio and return to the page, the same tab and filters will be present. It will reset when you exit the browser window.

Once you have the information you want, you can export the table by clicking the More Actions Button and selecting Export Data.

Classic filter experience

Some List screens and Reports include the ability to filter records in various ways. For example, the Inspections Item Failures Index allows you to filter by Inspection Form using a drop-down menu.

Click the More button (a) to raise a right-side panel with additional filter options. Enter a value in one or more of the data fields (b), then click the blue Search button (c):

Hover your mouse over the number of filters to view those currently applied (a) or click Clear All (b) to remove all filters.
