Require Meter Readings for Service or Inspections

Keeping your Meter values in Fleetio up-to-date is important to ensure your Due Soon and Overdue Service Reminders are sent at the proper intervals. Frequent and accurate meter readings are also essential for accurate usage calculations and reporting.

One way to ensure that meter readings are kept up-to-date is to record the current meter entry when completing various maintenance tasks or inspections.

By default, Fleetio is set to Require a Meter Reading for all Service Entries and/or completed Work Orders. You can also include a Meter Entry as a required item in an Inspection Form.

Enable/Disable Required Meter Readings - Service Entries & Work Orders

Go to your Account Menu and select Settings.

In the Settings sidebar, click Maintenance Settings in the Service section.

By default, the Require a Meter Reading checkbox (a) is selected. While we strongly suggest this option remains on, you can uncheck the checkbox if you prefer.

You can also keep the checkbox selected but exclude any specific Vehicle Types (b) from this requirement. This is useful for assets such as trailers which typically do not require a meter reading.

Add a Required Meter Reading to an Inspection Form

  1. Click Inspections in the Sidebar Navigation and select Forms.
  2. Click the More Actions Button for the form in question and select Inspection Items.

  1. On the Edit Inspection Items page, click Meter Entry in the menu on the right.

  1. Fill out the Inspection Item details:
    1. Item Label - This is the item's name shown when a User completes the Inspection.
    2. Required - Whether or not the meter reading should be required for a User to submit the Inspection. This is selected by default.
    3. Short Description - A short description of the item, if applicable.
    4. Require Secondary Meter - Requires a secondary meter reading, if applicable.
    5. Require Photo Verification - Requires the User to take a new photo with the device's camera before the Inspection can be submitted.

  1. When you're finished, click the Save Inspection Form button in the top right.
