Parts and Tires Ordering with PartsTech

Order parts and tires from multiple suppliers using Fleetio's PartsTech integration. PartsTech suppliers primarily provide parts for light and medium duty vehicles (with some heavy duty availability) and tires for all three duty classes. 

PERMISSION: Account Owners and Administrators can fully manage the PartsTech integration in the account, but Regular Users must be given Purchase Order permissions to access PartsTech ordering. Learn more in User Roles & Permissions.

 

To get started, click on Integrations in the Sidebar Navigation and select Procurement to connect an account. If you don't already have one, you will need to create a free PartsTech account to access PartsTech for parts and tires ordering. 

Once your account has been connected, you can start ordering from PartsTech. Navigate to Purchase Orders in the Parts & Inventory tab. Click the More Actions button, and select Order to PartsTech. This action will open a new browser tab for PartsTech.

Connect Your Suppliers

To start ordering parts and tires, you must first connect your supplier accounts in PartsTech. Have supplier information handy, such as your account number, and login credentials. Entering your supplier credentials ensures that you receive any discounts currently in place with that supplier. There is no limit on the number of suppliers you can add for free.

  1. Click on Suppliers in the left navigation menu in PartsTech and click Add Suppliers.
  1. Search for suppliers by name or location. When you locate the supplier, Choose a Location, and click Add.
  1. Enter your supplier account credentials in the pop-up window and click Submit. Some suppliers may provide an estimated time to connect your account. If you need additional help setting up a supplier, click View Instructions.

IMPORTANT: Adding parts or tire suppliers in PartsTech requires a wholesale account. Supplier approval can be instant, or take up to two weeks.

 
  1. Each connection request is reviewed and approved per each supplier's specifications.

Find and Order Parts

  1. Click the dropdown menu in the upper right corner, and select a vehicle by Year/Make/Model, Name, Plate, or VIN.
  1. Search for parts or tires using the top search bar or quick search via categories. A search will retrieve all parts available from your connected suppliers.
  1. Each part search will display the available options per supplier (a). Use the Availability filter (b) to refine your results. Parts may be added to an order from multiple suppliers. Part delivery times vary by supplier.
  2. Click Add to cart (c) to add each part to an order. Core charges will be indicated and added to each parts order, if applicable. 
  3. When you are finished building your order, click Buy now (d) to purchase your order or Review your order (e) to make changes, add notes, or edit delivery options. A draft purchase order will be created in Fleetio.

Map Purchase Order Parts

Complete your PartsTech purchase order by mapping parts and updating inventory in Fleetio.

  1. Select the draft purchase order in the Purchase Orders index and click Edit.
  1. Verify and update the Vendor name (a), and select a Part Location (b).
  2. Click on a part (c) to open Parts Mapping. Core charges are automatically added to parts, but can be removed if you track them elsewhere. 
  1. Map each PartsTech part to the corresponding Fleetio part or Create a new part, and click Save.
  1. Save your purchase order as a Draft or Save and Approve. Learn more in Purchase Orders Overview.

Manage PartsTech Integration

  1. Click on Integrations in the Sidebar Navigation.
  2. Select Procurement or My Integrations, and select PartsTech.
  3. Click the More Actions button to Edit or Delete a PartsTech account. 
  4. Click Add shop to create additional PartsTech shop locations. 

TIP: Fleetio customers with multiple part warehouses can create additional PartsTech shops for each location to ensure localized delivery options. Additional locations require a unique Username and API Key. To set up a new location: 

  1. Head to https://app.partstech.com/sign-up/create-account and create a new account with a different email address.
  2. Once the new account is set up, copy your new location's credentials from PartsTech. Credentials can be found by clicking the user profile in the top-left corner of your PartsTech dashboard.
  3. Open the Integrations index and input these credentials into the PartsTech integration Add shop Username and API fields.
 

Roles and Record Sets

Set User Permissions in Roles and access to PartsTech locations in Record Sets. Learn more in User Roles & Permissions and Record Sets.

To View, Edit, and Add Roles or Record Sets, go to your Account Menu and select Settings.

Roles:

  1. In the Settings sidebar, click Roles in the User Access section to view your Roles index.
  2. Manage User access to PartsTech orders for each Role within Purchase Orders.

Record Sets:

  1. In the Settings sidebar, click Record Sets in the User Access section to view your Record Sets index.
  2. Procurement has two Standard Record Sets
    • Full Access allows the user access to all parts locations.
    • No Access does not allow access to any parts locations.
  3. Click Add Record Set to create custom Record Sets that allow Some Access only to select part locations.
