Sometimes systems outside of Fleetio may identify data records differently. For example, Fleetio uses 'Vehicle Name' but your GPS system may use 'Unit #'. External Vehicle IDs allow you to tell Fleetio how your external systems identify vehicles. This is especially useful when importing data such as Fuel Entries, Meter Entries, or Service History.
You may define these External IDs in your Account Settings.
Add External IDs
- Go to your Account Menu and select Settings.

- In the Settings sidebar, click External Vehicle IDs in the Vehicles section.
- Click the + Add External Vehicle ID button, and enter a Label and Description in the form that appears.
- Click the Save button.

The new entry will now be shown on the External Vehicle IDs page, along with the Key that identifies the field in the database.

Assign Vehicles
After creating a new External Vehicle ID, the next step is to assign Fleetio Vehicles to the corresponding Keys from your external system. Values may be entered manually, or in bulk using Data Import - either with an initial Vehicle import or with an updated import file.
NOTE: The External Vehicle ID must be created before it can be imported.

- Click the More Actions Button for your External Vehicle ID and select Assign External ID Values.

- Use the search at the top of the page to find the desired Vehicles, then enter the corresponding keys from your external system into the text box in the id Value column.
- You can use the Only vehicles without value checkbox to quickly locate Vehicles without a value assigned.

Edit or Delete External Vehicle IDs
If you need to make changes to your External Vehicle IDs, click the More Actions Button and select Edit or Delete.

IMPORTANT: You can only edit the Label and Description fields. If you need to change the Key, you must delete and recreate the External Vehicle ID.
