Vehicle Naming Conventions

Developing a naming system for your vehicles and equipment will make it easier for you to identify, organize, and search for your assets in Fleetio. If you don't already have internal numbers and references for your vehicles, it is worthwhile to plan a strategy before you begin entering your vehicle data.

Below are some vehicle naming suggestions that we have received from our customers.

Naming Variables

  • Location, Group and/or department of vehicle
  • VIN (probably just a portion of the VIN; it's a pretty long string of characters)
  • License plate
  • Year
  • Make
  • Model
  • Type of vehicle (e.g. "C" for Car, "TU" for Truck, "TA" for Trailer, etc.)
  • Car or truck classification

For Example, using Location-Year-Make-Model-Last 4 of VIN, a 2003 GMC Sierra pickup located in Alabama could be named AL-03-GMC-Sierra-1234.

TIP: Use common shorthand references (e.g. Alabama = "A" or "AL") to keep things more concise. Make it as simple as possible to glance at the name and quickly derive important details.

Naming Consideration

Be descriptive

Fleetio provides ample space for naming, so feel free to take advantage of it. A three-digit number may be sufficient, but Fleetio can accommodate enough information to make any asset easily identifiable.

Be consistent

Whatever you decide, it is always best to be consistent. We encourage you to make fleet management a collaborative effort and having a consistent naming convention will allow everyone to learn the system faster.

Prepare for change

You can quickly and easily change the name of any vehicle in Fleetio. Keep this in mind if you want to include any temporary details, such as location or current driver. Vehicle details and history are not affected by a name change.
