Link Your Own Barcodes/QR Codes to Fleetio Assets

Scan physical labels on Vehicles, Tools, and Parts to bring up records in Fleetio. By scanning, you can easily find a record in Fleetio without the need to search. This guide covers which barcodes can be read by Fleetio.

PERMISSIONS: Users need Create/Edit access in their User Roles & Permissions to associate labels with assets and parts in Fleetio.

 

Vehicle barcodes

The Fleetio scanner reads VIN barcodes.

If the vehicle and VIN are already in Fleetio, you do not need to associate the door jamb sticker with that vehicle in the system; the barcode scanner will bring up the correct corresponding vehicle. If the VIN is not recognized, and the vehicle exists in Fleetio, check that the VIN has been entered correctly.

For VINs that have been manually entered, they must be 17 characters long and cannot include the letters I, O, or Q.

Tool barcodes

Fleetio can read the following types of barcodes: EAN-13, EAN-8, UPC-A, UPC-E, QR Code, Code 128, Code 39, Code 93.

There are two ways to set up Tools barcodes:

  • Scan the barcode using Fleetio Go. If it doesn't find a match, it will ask if you want to Add the Serial Number to an Existing Tool or Create a new Tool with the Serial Number. Select an option, fill out the information, and save it. This method ensures the barcode scanner will be able to find your Tool and saves time over manually entering and verifying barcode information.
  • Type the information from the barcode into the Serial Number field on the Tool form either on the web or Fleetio Go.

Parts barcodes

The Fleetio scanner reads UPCs. If the part and the UPC already exist in Fleetio, a user can scan the barcode and Fleetio will bring up the corresponding part.

  • Scan the barcode using Fleetio Go. If it doesn't find a match, it will ask if you want to Add UPC to Existing Part or Create a New Part with UPC. Select an option, fill out the information, and save it. This method ensures the barcode scanner will be able to find the part and saves time over manually entering and verifying barcode information.
  • Type the number from the UPC into the UPC field on the Part form.
